Assigning tasks and guests
Give a task to a team member or to anyone by email, with reminders and a task page where guests mark progress and leave notes. Professional and up.
Give any task to someone on the project or to anyone by email. They get it by email with a link to mark it done, and you follow the progress on the board Professional and up.
Who can assign
| Can assign? | |
|---|---|
| Project owner's plan: Professional, Business, Agencies | Yes |
| Project owner's plan: Essential, Pay as you go | No: "Assigning tasks to people is part of the Pro, Business and Agencies plans." |
| Role: Owner, Admin, Editor | Yes |
| Role: Viewer | No: "Only the project owner, admins and editors can assign tasks." |
Professional includes one team seat, so most tasks go to guests: a person you reach by email uses no seat and "They don't need a Rankfender account."
Assign a task
Open the task and click "Assign"
You can also pick someone in "Assign to" when you use "Add task", or click "Assign" on an article in the calendar.
Choose the person
Under "Someone on the project", "Choose a person". Members whose team fits the task type come first ("Suggested: Content team", then "Everyone else"). Or type an address under "Or send it to an email".
Add a "Due date" and a "Message (optional)"
The due date also puts the task on the calendar and drives the reminders.
Click "Send"
You see "Task sent. They'll get it by email."
- An address that belongs to a project member becomes a normal member assignment.
- Assigning yourself sends no email ("The task is yours.").
- On the calendar, "Assign this article" creates a "Review & publish" task due on the article's date.
What the person receives
An email with the task, its type, the due date, why it matters, your message and two links: one to open the task, one to mark it done. A member's link opens the task on their Planning board; a guest's link opens the task page below. Emails are in English, or in French for people who use Rankfender in French.
Change or remove
The task window shows "Assigned to", with "Sent on …" and "Due …". "Reassign" sends the task to someone else; the previous link stops working. "Unassign" takes it back. If the email failed, you see "Assigned, but the email didn't go out. Use Reassign to send it again."
Reminders
Every day at 08:00 UTC, each person gets one email listing their tasks due tomorrow. On Mondays, the email also lists tasks past their due date. Only tasks with a due date that aren't done count, and nobody gets more than one reminder a day.
The task page for guests
The guest's link opens a page with no sign-in. It shows "From …", the due date (or "Was due …"), "Why it matters" and "How to do it".
| On the page | What happens |
|---|---|
| "I'm on it" | The task moves to In progress on your board. |
| "Mark as done" (with an optional "Note (optional)") | The task moves to Done and the person who sent it gets an email. |
| The done link from the email | Opens "Finished this task? Confirm with one click." and "Yes, it's done". |
| "Question or note" + "Send" | The note appears in the task's "History" on your side. |
The footer says "Sent with Rankfender. Only people with this link can see this task." A link that was reassigned or removed shows "This link doesn't work any more". A task accepts 30 changes an hour.
Follow the progress
The task's "History" lists who assigned it, every status change and every note. On the board, the "Person" filter shows what each member or guest has. When an assigned task reaches Done, the person who assigned it gets an email.
Note
The task page and the emails are in English or French. Team seats and roles are explained in Team members.
